The Library Operations Associate (Circulation Desk Manager) manages Circulation operations at the Richard J. Daley Library, including the supervision, training and scheduling of staff and student employees.  In collaboration with the Head of Circulation, the Circulation Desk Manager will provide leadership in evaluating and improving circulation services and policies.  He/she also takes charge of patron and building security during his/her shift , reporting and resolving problems in collaboration with appropriate third-party personnel and/or Library administration.This position manages the Sunday shifts and Monday - Thursday evening shifts.  The work schedule for this position is Sunday through Thursday 10:45 a.m. to 7:00 p.m.  Must be able to occasionally flex work schedule to serve as back up or cover shifts as needed.

Job Responsibilities:

  • Hire, supervise, develop and evaluate staff to meet departmental and organizational needs. Establish and provide ongoing training to develop staff and improve access services provided to Library patrons.
  • Manage Circulation operations, including scheduling of coverage for desk and door service points, opening/closing of the building, reserve services, billing operations, hold shelf maintenance and updating of patron records.   Ensure appropriate coverage to effectively maintain operations and serve as backup if necessary.
  • In collaboration with the department head, provide strategic leadership for the Circulation department. Analyze data and trends to plan, develop and assess services.  Recommend and write updates to policies and procedures to improve access services.  Interact with other Library departments to coordinate effective services.
  • Monitor building use and ensure user compliance with the Library Code of Conduct. Oversee building and patron safety and security during shift.  Report and resolve security problems in collaboration with the UIC Police department and private security personnel.  Monitor facilities and equipment and report problems to Facilities Management or Library Administration. 
  • Interpret, explain and enforce Circulation policies. Trouble-shoot and resolve complex problems and escalated situations. 
  • Perform other related duties and participate in special projects as assigned.

Minimum Qualifications:

  1. High school graduation or equivalent
  2. Any combination totaling 4 years (48 months) from the following categories:

(a) work experience in a library or equivalent setting.

(b) college course work in any field as measured by the following conversion table

  • 30 semester hours equals six months
  • 60 semester hours or an Associate’s degree equals one year
  • 90 semester hours equals eighteen months
  • Bachelor Degree (120 semester hours) equals two years (24 months)
  • A Master’s or higher degree equals four years (Note: Only a maximum of 4 years credit for college course work is    available.)

3.  A total of 2 years (24 months) work experience in a library or equivalent setting performing progressively more responsible work consistent with the next lower level of this series.

Preferred Qualifications:

• Demonstrated experience supervising full-time staff members.
• Experience in a Library public services unit.
• Experience working with the Circulation module of an integrated Library system.

•knowledge, skills, and abilities required in the lower levels of this series

•detailed knowledge of library system technology and its capabilities
•skills in organization, coordination, supervision, and work flow analysis
•individual initiative and judgment in utilizing library principles and procedures
•proficiency in providing assistance and guidance in use of the library collections
•ability to develop and manage budgetary expenditures of a major functional unit
•ability to compile, interpret, and use statistical information
