Job Summary

The University of Illinois at Chicago, Hospital and Health Sciences System is looking for a qualified candidate to fill the role of Business Manager for the Oncology Service Line. The Business Manager will be responsible for handling day-to-day administrative, financial, operational, and human resource functions for the unit.

 

 

Essential Duties/Responsibilities 

  • Correctly and timely initiates business transactions, including but not limited to coordinating travel arrangements, perform purchasing and iBuy duties as needed – vendor set-up, supply/services/equipment purchasing, invoice payment, purchase orders, registrations, memberships, fees,  etc; determine proper use of assigned payment cards.
  • Ensuring consistent reporting and adherence to university, hospital, Cancer Center, and OSL policies and procedures.  
  • Maintains OSL space assignments and physical asset inventory; maintains and communicates space needs and plans; calculates and pays rent and related expenses. 
  • Participates in the recruitment, hiring, onboarding, and maintenance of staff positions, including but not limited to processes related to interviewing, selection, building/elevator/office access, office needs, time reporting, computer/software/system access, telecom needs, IT/user accounts setup.  Handle network issues, including setup and reporting from leased printers; phone jacks, voice mail, etc.
  • Ensures OSL grants, contracts, MOUs, and other agreements are executed and renewed accurately and on time.  Initiates, submits, routes, and follow up via various campus systems and processes as necessary.  Supports and serves as a point of contact for grant/contract/MOU/agreement partners throughout the relationship.  Develops and monitors associated budgets; ensures revenues, expenses, transfers, etc., attach to the correct sources.
  • Maintains OSL financial status, updating actual revenues and expenses monthly; reporting and investigating variances; reviewing transactions including payroll expenditures and working with necessary parties to resolve errors.  Processes budget transfers, revisions, and journal vouchers as required.  Participates in developing and submitting the annual budget, grant/contract/project budgets, business plans, etc.  Develop and/or prepare various financial and operational reports as assigned.
  • Monitors and ensures accurate completion of financial transactions.  Ensures that all financial and procurement transactions are properly executed and tracked to completion.  Submits monthly accruals.  Initiates transactions in various systems, accurately, ensuring correct coding and source of funds. 
  • Maintains appropriate and confidential paper and electronic filing systems; develop and maintain appropriate documentation.  Communicates proactively, keeping supervisor and others apprised of problems and progress.
  • General administrative activities; scheduling; organizing meetings; preparing presentations, correspondence, reports, and other documents and products.    
  • Perform other duties and special projects as assigned.

Minimum Acceptable Qualifications

CREDENTIALS TO BE VERFIED BY PLACEMENT OFFICER

  1. A. Bachelor’s degree in accountancy, business administration, management, or closely related field.

OR

B. Three (3) years (36 months) of work experience in accounting, business administration, fiscal management, or closely related experience.

                OR

C. A combination of such education and/or work experience totaling three (3) years (36 months), as measured by the following conversion table or its proportional equivalent:

                - 30 semester hours equals one (1) year (12 months)

                - 60 semester hours or an Associate’s Degree equals eighteen                                months (18 months)

                - 90 semester hours equals two (2) years (24 months)

Preferred Qualifications

Strong MS Office or comparable word processing, spreadsheet, presentation, and email skills required. 

Demonstrated organizational skill; proactive; responsible for completing work accurately and on time.

Excellent, grammatically correct oral and written communication skills.  Demonstrated ability to work effectively in a team environment.

Master’s degree in business administration, management, or close related field; work experience in a healthcare, scientific, government, and/or academic setting; project management experience; experience with grant, contract, or program/project budgets.

KNOWLEDGE, SKILLS AND ABILITIES (KSAs)

  1. Knowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership techniques, production methods, and coordination of people and resources.
  2. Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, data entry, designing forms, and other office procedures and terminology.
  3. Knowledge of technology including electronic equipment, computer hardware and software, and their applications.
  4. Knowledge of basic arithmetic, algebra, statistics, and their applications.
  5. Ability to work independently and effectively organize and prioritize multiple tasks.
  6. Ability to identify complex problems and review related information to develop and evaluate options and implement solutions.
  7. Ability to work collaboratively and communicate effectively as appropriate for the needs of the audience.
  8. Ability to analyze and develop guidelines, procedures and systems to outline specific goals and implement plans to prioritize, organize, and accomplish tasks.
  9. Ability to manage a budget and work within the constraints of that budget.
  10. Ability to analyze, interpret, and explain work related documents, policies, and procedures.
