The Administrative Program Director will directly oversee the daily operations of clinical research studies related to chronic kidney disease in the Division of Nephrology. The Administrative Program Director will provide supervision over study administrative staff and coordinators including Research Assistants, Research Specialists, Clinical Research Coordinators, Administrative Aides, Community Affairs Specialists, and Inventory Specialists.

 

The Administrative Program Director guides the day-to-day operations of clinical research activities and will ensure compliance with organizations responsible for human subject research, information privacy and security, and good clinical practices.  This position will develop and implement standards for research protocol management, policies, and procedures. This position will supervise and train study staff and ensure the highest quality of research in compliance with all institutional and grant facility requirements. 

 

The Administrative Program Director will assist with nephrology fellow recruitment and engagement for the division fellowship program. This will include the development and dissemination of marketing tools, planning and coordination of outreach events, performing regular website maintenance, and developing material for a consistent social media presence.  These activities will also parlay into divisional foundation development and alumni relations.

Essential Duties

 

  • Conceptualize, initiate, and execute research goals for research projects. Monitor study developments and define, create, and implement new research procedures based on study needs.
  • Manage research Studies, collaborating and partnering with all internal/ external staff including sponsoring agencies, organizations &/ or other research &/ or educational institutions to ensure project objectives and timelines are attained.
  • Monitor study performance, including recruitment and retention rates; analyze & review results.
  • Maintain a detailed knowledge of all study protocols and serve as a primary liaison with external collaborators and sponsors.
  • Maintain responsibility for designing/ editing materials, and developing study forms, measures, and protocols.
  • Manage and ensure completion of study activities per protocol.
  • Provide consultation to internal/external project staff on appropriate data management, methodological issues, and analysis of data.
  • Oversee quality assurance activities
  • Oversee IRB maintenance for all studies under supervision including the development of new IRB protocols, maintenance of UIC IRB approvals, and coordination with other partner IRBs.
  • Assist with or complete sponsor-related reports on study progress.
  • Assist in the design and implementation of new grant proposals and projects.
  • Work with Business Manager & oversee research study finances, including revenue and expenses.
  • Lead research study meetings and present weekly updates on recruitment, retention, and study progress.
  • Attend and participate in study-related steering committee meetings (requires travel approximately four times per year).
  • Hire, train, and supervise coordinator staff, and students on techniques, methods, and procedures
  • Provide direct supervision to research staff and coordinators for division research studies.
  • Conduct regular performance evaluations in conjunction with the Principal Investigator and Division Chief
  • Approve monthly and biweekly timesheets
  • Works collaboratively with the Department of Medicine HR office
  • Partners with the program director to execute the recruitment process
  • Assist program director with tasks related to the interview process
  • Updates recruitment brochures, websites, and materials provided to applicants.
  • Coordinates mixers and events to engage applicants
  • Coordinate events to support existing fellows
  • Plans and executes graduation services for the fellowship program
  • Develop and disseminate marketing tools
  • Plan and coordinate outreach events
  • Perform regular website maintenance
  • Develop material for a consistent social media presence
  • Work with development office to nurture donor relations
  • Conduct outreach communication to program alumni
  • Manage day-to-day office operations. Interview, hire, orient, lead, mentor, and evaluate staff to meet departmental and organizational needs.
  • Perform other related duties and participate in special projects as assigned.

Minimum Qualifications

  1. Bachelor's degree
  2. A total of three (3) years (36 months) in education, training and/or work experience in the area of specialization inherent to the position.
  3. Demonstrated experience in research management.

Note: Master’s degree in an area consistent with the duties of the position may be substituted for one (1 year) of work experience.
