The University of Illinois Hospital & Health Sciences System (UI Health) is seeking to fill the position of Business Administrative Associate (Business Manager) for Hospital Administration Marketing & Strategic Communication.  Under the direction of the Senior Director of Marketing & Strategic Communications for UI Health, the Business/Administrative Associate will assume responsibility as the primary contact for all business and administrative tasks including but not limited to managing the department and line budgets, overseeing the procurement and expense management process, providing schedule and meeting support, ordering of supplies, and resolving technical and/or administrative issues for the Marketing & Strategic Communications team.

 

  • Develop, manage, and submit budgets and financial results for the department including the management of major accounts such as advertising, professional and artistic services, general services, and other. Provide advice and technical assistance to the Senior Director regarding cost analysis, fiscal allocation, and budget preparation. Manage the day-to-day expenses including accounting against the budget, manage alignment of budget and expenditures, and allocate expenses accordingly for each functional area of the Marketing Department.
  • Manage departmental financial matters including items related to invoices, PCARD, and TCARD transactions, PO’s, etc. Ensures that all procurement transactions are properly executed and tracked. Maintaining all related purchase orders, invoices, payments and reimbursements; submission of monthly accruals and quarterly reports.
  • Manages, coordinates, and follow up with any administrative or business needs for the Marketing Department, including but not limited to anticipate supply needs, ordering supplies, assisting with equipment or facility’s needs, assisting with HR functions, addressing routine inquiries, assisting with payroll, etc.
  • Manage the onboarding of vendors, serve as contract manager, and guide department through University Procurement.
  • Manage database of vendor purchase orders, keeping detailed records of invoice submittal and providing timelines for completing projects and/or allocation of vendor resources across each functional area of Marketing.
  • Develop qualitative and quantitative tracking mechanisms to ensure the effective measurement and reporting of results to support benchmarking and internal/external reporting requirements; analyze metrics to provide benchmarks for comparing results before, during, and post campaigns.
  • Manage external reporting tools, interpret monthly, quarterly, and annual results and integrate into internal dashboard for business reporting.
  • Other duties and special projects appropriate for a business/administrative associate.

Minimum Acceptable Qualifications

  1. Bachelor's degree in business administration, management, or a field related to the position.
  2. Two (2) years of professional business, financial, and/or managerial work experience.

    (NOTE: A Master’s Degree in an area consistent with the duties of the position may be substituted for one (1) year (12 months) of work experience.)

This position requires Illinois residency within 180 days of the hire date

 

Preferred Qualifications

  • Excellent verbal and written communications skills to interact effectively with University and departmental officials/staff and other persons seeking assistance from the Marketing Department.
  • Ability to work independently and exercise good judgment and discretion in supporting the Marketing Department’s operations and services, and with processing correspondence/documents that contain confidential and sensitive information.
  • Advanced computer skills to proficiently perform assigned duties and responsibilities using Microsoft programs/applications including: Outlook, Word, Excel, PowerPoint, and Internet Explorer or other web browsers.
  • Thorough knowledge of general office operations and procedures to effectively contribute toward the success of operations and services administered by the department and ensure the accuracy of information provided to offices/persons seeking assistance from this office.
  • Ability to establish and maintain electronic and paper filing systems that contain confidential documents/records.
  • Knowledge of University of software programs/applications to perform accurate and timely data entry related to assigned areas of responsibility.
