The Department of Ophthalmology & Visual Sciences, within the College of Medicine, is looking for one Accounting Assistant to join our team.

The Accounting Assistant will performs repetitive purchasing and payables related accounting duties by applying a knowledge of basic bookkeeping procedures and methods while operating variety of accounting office equipment. Incumbent will be in involved with the purchasing and payables duties in the Accounting Office within the Department of Ophthalmology & Visual Sciences.

Assists with all clinical procurement activities and manages department accounts.

Reviews vouchers, i-buy requisitions, purchase orders, and other routine transaction documents for completeness and accuracy. This examination requires a variety of approaches due to the numerous accounts or forms.

Prepares statements and reports that are factual in nature and that require computations (such as totals, sub-totals, or balances).

Reconciles accounts by tracing transactions, comparing original documents, and searching in supporting files and subsidiary accounts; prepares correction documents as required.

Manages and reconciles medical education budgets for PGY residents and fellows

Department p-card reconciler

Processes reimbursements, advances and human subject payments.

Assist with post-award activities. Sub-award payments, IRB fees, grant closeouts, etc.

Assist with Property Accounting, equipment disposals, p-tag affixation and biennial inventory.

Assist with Departmental Gift and Cashier transmittal deposits.

Performs other related duties and participate in special projects as assigned.

CREDENTIALS TO BE VERIFIED BY PLACEMENT OFFICER
 

  1. Any one or combination totaling one (1) year (12 months) from the categories below:
    1. course work in accounting, as measured by the following conversion table or its proportional equivalent:
      • 6 semester hours equals one (1) year (12 months)
    2. course work in any discipline as measured by the following conversion table or its proportional equivalent:
      • 30 semester hours equals one (1) year (12 months)
    3. work experience which could include bookkeeping, office support, or closely related experience.



KNOWLEDGE, SKILLS AND ABILITIES (KSAs)
 

  1. Knowledge of the application of basic bookkeeping methods and procedures.
  2. Knowledge of administrative and clerical procedures and systems such as word processing, spreadsheets, managing files and records, and other office procedures;
  3. Skill in active listening and critical thinking.
  4. Skill in time management.
  5. Ability to communicate effectively as appropriate for the needs of the audience.
  6. Ability to compare numbers and detect errors efficiently.
  7. Ability to compile complex financial information.
  8. Ability to make computations with speed and accuracy.
  9. Ability to work independently and exercise good judgment.
  10. Ability to make decisions in accordance with university and departmental policies, rules, and regulations.
