This position assists the Director and Academic Advisor for the Master’s in Medical Biotechnology program. This position provides clerical and all office support activities for the program.

This position is 90 miles west of Chicago. 

Manage the program office:

-Attend telephone and respond to enquiries by prospective candidates about the program.

-Send correspondence to prospective student applicants.

-Assist candidates finding housing around the campus by disseminating information to incoming recruits.

-Coordinate travel arrangement for faculty, staff, and students.

-Keyboards documents containing confidential or sensitive information independently, composes and provide drafts of correspondence, memos, and reports.

-Maintain the Program Director’s calendar.

Manage and Co-ordinate Events

-Coordinates events and activities for the program as needed. Events and activities may take place on the weekend and evenings and may involve traveling.

-Attend and represent the program in Midwest region recruitment events when requested. May include evening and weekend activities.

Communications and Media:

-Reviews incoming electronic mail for the program and responds to items within the scope of responsibility.

-Assist in creation of publication for internal and external audiences (brochures, posters, letterheads, websites, social media accounts, etc.)

-Provide assistance to faculty and students for Blackboard and other electronic teaching systems.

-Maintain databases and contact lists for effective communication with faculty, staff, students, alumni, and program partners.

Office Administration:

-Purchase supplies and services necessary for the program using the appropriate university systems (P-card, T-card, iBuy, etc) and following university guidelines. 

-Maintains records of unit fiscal transactions for designated accounts and reconcile and monitor program expenditures.

-Establishes and maintains inventory records, conducting periodic checks for inventory control purposes.

-Schedule meeting rooms for all program activities and arrange for equipment and/or food/catering for various events.

-Serve on standing or ad hoc committees for the program as needed.

-Perform other related duties and participate in special projects as assigned.

High school graduation or equivalent.

Two (2) years (24 months) of work experience comparable to the third level of this series

Civil Service Exam Information:

For the exam you will have to come to the Rockford campus and will be allowed 2 hours to complete it. The updated online application and all uploaded, relevant documents, such as a resume and/or college transcript will be used in the calculation of the exam score. These documents should be uploaded prior to submitting your exam request.
