The University of Illinois Chicago - College of Dentistry (UIC COD) is seeking a full-time on-site Human Resources Associate to join a team of HR professionals to support a large clinical, academic and research operation.  The College employs 700 faculty and staff across 12 pre-doctoral and post-graduate dental clinics, and 11 academic and administrative departments.  Salary range is $70,000-$80,000.

UIC COD is the largest oral health college and patient care provider in the State of Illinois it has more than 500 students pursuing advanced degrees, including DMD, PhD, and MS programs and provides care for 38,000 patients a year.  The College has a research portfolio of more than$7 million in funding from National Institutes of Health, Department of Defense, Health Resources and Services Administration, and private institutions.   The College is a vibrant community rich in diversity and a community of compassionate, service oriented leaders whom are changing the world of oral health care for good. 

  • Reviews and processes human resource transaction (i.e. HRFE transactions, reclassifications, overcompensations, job descriptions, etc.) by required deadlines, reviews for compliance, ensures appropriate policy and guidelines have been applied and followed. 
  • Reviews and approves payroll, completes payroll adjustments, overpayment requests and processes separation payouts by required timelines.
  • Supports the Dentistry Human Resources Director and team member to ensure all HR transactions, employment actions are completed on time and correctly. 
  • Ensures compliance with university, state, and federal laws and regulations regarding personnel practices.
  • Works with assigned departmental business managers and advises them on University and College policies and procedures, ensures that all employment actions are processed within required timelines. 
  • Works with hiring managers to ensure positions are budgeted; assists in the development of job descriptions; reviews, and edits job advertisements; posts internal and external job postings; and implements College recruitment strategies utilizing the latest recruitment tools available.
  • Manages civil service staffing activities from initial recruitment through selection, hiring, and conducts new hire orientations of all employee groups.  May assist with academic and faculty searches in absence of a departmental business manager.
  • Conducts compensation studies to ensure rates of pay are equitable and competitive and consults with the HR Director on a recommendation.
  • Monitors and tracks attendance trends and takes appropriate action to address the organizational and operational needs of the College.
  • Works with the College’s Labor & Employee Specialist to gather information for disciplinary cases. 
  • Collaborates with the Dentistry Leave Coordinator to track leaves and transactions.
  • Implements the established short term and long-term goals to achieve the College and the Dentistry HR Department’s vision and mission.
  • Designs and creates user friendly reports and data files for analysis using a variety of reporting tools such as Business Objects, EDDIE, and Decision Support to supply information regarding college faculty and staff, leaves temporary services, academic searches, and human resources performance metrics.
  • Serves as a liaison between Campus offices and College of Dentistry employees and guides employees to available Campus resources for their career/life events to ensure their success in order to meet operational goals.
  • Perform other related duties and participate in special projects as assigned.

 

 

Minimum Qualifications:

  1. Bachelor's degree in Human Resources Administration, Management, Organizational Administration, Public Administrtion, Labor Relations, Business Administration, or a field related closely to the position
  2. Two years of work experience performing professional-level human resources duties
