The University of Illinois Chicago College of Dentistry (UIC COD) is seeking a full-time, Accounting Officer join a worldwide leader in oral health education, clinical care and research that is patient –centered and evidence-based.

The Accounting Officer will be responsible for clerical duties, supporting maintenance of accounts and accounting records in the College of Dentistry. This position will assist in maintaining/posting records, screening, verifying, correcting errors in posting entries, reviewing balances, reconciling records, preparing summaries/reports daily.

  • Reviews requisitions via iBuy and Banner; approves purchase orders, checks for appropriate funding source and fund balances. Places office orders as needed.
  • Maintains/approves Chrome River transactions.
  • Communicates with College Business and Clinic Mangers, P-Card/T-Card holders, etc. in a timely manner.
    • Facilitates directing College employees to appropriate University resources.
  • Interprets and/or composes correspondence requiring knowledge of departmental regulations, procedures, practices, and policies
  • Makes corrections on transaction documents as needed.
  • Files and organizes documents.
  • Submits invoices for payment and monitors progress for completed payment workflow.
    • Reviews, maintains and monitors lab invoices process and payment for the College of Dentistry- dental clinics.
    • Researches and prepares stop payments
  • Handles vendor inquiries about payment status on their invoices and any other receivable/payable requests coming from third parties.
  • Reconciles accounts by tracing transactions, comparing original documents and searching in supporting files and subsidiary accounts; prepares correction documents as required.
  • Prepares statements and reports, requiring computations.
  • Prepares collection reports and bank deposits.
  • Enters, stores and retrieves information in established office manual/ Intranet.
  • Performs Biennial fixed asset inventory for the assigned College organizations.
  • Reconciles reports from outside agencies and operating units by contacting units and researching causes of discrepancies and taking action to ensure that accounts agree
  • Perform other related duties and participate in special projects as assigned.

Minimum Acceptable Qualifications Required: 

  1. Any one or combination totaling two (2) years (24 months) from the categories below:

A. course work in accounting, as measured by the following conversion table or its proportional equivalent:

  • 9 semester hours equals two (2) years (24 months)

B.  course work in any discipline as measured by the following conversion table or its proportional equivalent:

  • 30 semester hours equals one (1) year (12 months)
  • Associate's Degree (60 semester hours) equals eighteen (18) months
  • 90 semester hours equals two (2) years (24 months)

C. work experience which could include bookkeeping, office support, or closely related experience.

 

Preferred Qualifications:

  • Great verbal and written communication skills.
  • MS Office knowledge. 
  • Banner system knowledge.
  • Axium system knowledge.
  • Ability to apply basic bookkeeping methods and procedures 
  • Ability to apply office methods and procedures 
  • Ability to make rapid and accurate arithmetic calculations 
  • Ability to make corrections in records 
  • Ability to maintain files and records 
  • Ability to operate electronic and/or other standard office equipment
