Records Information Management Services Coordinator

The Coordinator for Records and Information Management Services (RIMS) engages with personnel from all functional areas of business for the University including but not limited to HR, Finance, Utilities, Facilities, Academics, and Research. Work includes initiating a variety of records management activities such as supervising inventory and disposal projects, assisting in developing and delivering training materials supporting web-based resources, and routinely responding to inquiries. As needed, RIMS Coordinator also supports information management activities working with other IT and administrative professionals to improve and streamline business processes associated with the management of born-digital as well as paper-based information assets.

 

  • Support communications directed to departments about best practices regarding information generation, storage, inventory, management, and disposition. 20%
  • Work directly with units to support the disposal or archiving of records and other information assets in compliance with legal and regulatory requirements. 20%
  • Assist with developing and delivering training programs, seminars, and presentations. 20%
  • Work closely with colleagues in support of best practices and procedures documentation. 20%
  • Assist in the identification of and transfer to archival custody, records having enduring value. 10%
  • Provide direct oversight for large departmental projects related to records and information management organization and access. 5%
  • Provide supervision and oversight for student personnel and perform other duties and responsibilities as appropriate for a Records and Information Management Services Coordinator. 5%

 

 

Minimum Qualifications:

1. A. Bachelor's degree in business administration or administrative sciences OR

    B. Three years of experience in the administration and management of records systems OR

    C. Any combination of (i) college training in administrative sciences or business administration and (ii) experience in records systems management and   micrographics that totals three years

2. Two years of experience in the administration and management of records systems

 

Preferred Qualifications:

  • Master’s degree or advanced degree with a concentration in library and information science, the management and organization of information assets, business information systems, communications, or information technology
  • Three years of experience overseeing the conversion of office records and documents from paper to electronic systems.
  • Advanced training or demonstrated experience in Records and Information Management, Business Process Improvement, Project Management, and/or Electronic Records
  • Experience working with records and information resources or with archives in state government or higher education.
  • Experience working in the environment of health services, facilities and utilities, libraries and archives, state government, or with large research-based organizations.
  • Experience with electronic records management systems, electronic document management systems, document imaging, or enterprise database systems.
  • Certifications: ICRM Certified Records Manager, Certification by the Academy of Certified Archivists, Project Management Certification.
