Job Summary

The University of Illinois at Chicago, UI Health & Hospital Systems, is looking to hire the ideal candidate to fill the position of Medical Staff Services Specialist II.

The Team Member in this role will provide services to effectively process applications (initial and recredentialing) including the granting of clinical privileges in accordance with the Medical Staff Services (MSS) and medical staff policies and procedures. They will also assist the Assistant Director of Medical Staff Services, as necessary in initiating and coordinating the office support functions required for effective operational activities of the Medical Staff Office. 

Essential Duties

  • Develops and maintains a current knowledge base in the areas of Medical Staff Services and its relationship within the hospital’s organizational structure and to outside agencies.
  • Communicates effectively with Department Liaisons and office staff regarding the flow of information necessary to maintain daily activities within the department as well as interdepartmentally with other clinical and administrative departments.
  • Ensures the completeness of the credentialing appointment and reappointment process by assuring that primary source verification is complete, and applications are reviewed as required by the Medical Staff Bylaws and Rules and Regulations.
  • Implements approved departmental policies and procedures that meet the demands of external agencies such as TJC and CMS and other regulatory bodies to ensure compliance with the Medical Staff Bylaws and Rules and Regulations of UI Health
  • Provides phone coverage to screen calls, take messages, answer inquiries and resolve problems that require the interpretation and/or explanation of Medical Staff Services Policies and procedures.
  • Routinely updates the Deputy Director and Medical Staff Coordinator on progress of applicants and reapplicants to ensure deadlines and priorities are met.
  • Assists as needed in the organization of meetings of the Medical Staff including the Executive Committee, Credentials Committee and other designated Medical Staff Committees which may entail assistance in the preparation and distribution of agenda, meeting materials, maintenance of attendance files, and post meeting follow-up. The incumbent will attend, record and compile minutes of such meetings as needed.
  • Assists in the organization of special meetings of the Medical Staff such as the Annual Meeting, which includes preparation of Medical Staff elections
  • Maintains numerous filing systems (paper and electronic), and makes appropriate recommendations for improvements that may enhance efficiency.
  • Assists and works in collaboration with the Medical Staff Specialist(s) I and/or students and temporary help assigned to the department.
  •  Serves as a resource person on all medical staff issues within his/her scope of responsibility.
  • Assists as needed in preparing budgets, and in ordering and maintaining inventory of all requisitions, office supplies and equipment to ensure that budget limitations are not exceeded.Participates in the analysis, design, and implementation of office information systems and/or other automated systems. 
  • Keyboards information accurately into the Morrisey (MSOW) credentialing software and other computer system and runs reports as needed.Assists and prepares files for delegation and regulatory audits for Managed Care and UIHHSS as needed.
  • Performs related duties as assigned.

Minimum Acceptable Qualifications

  1. possession of requirements listed for the next lower level of this series
  2. Any one or any combination of the following types of additional preparation:
    1. work experience performing duties comparable to those of the Medical Staff Services Specialist I
    2. credit for college course work in office occupations, business education, business administration or closely related fields
    3. credit for college course work in health-related fields (such as biology, anatomy, physiology, nursing, medical records, or public health)


      that totals 1.0 unit according to the following conversion rates:

        Amounts of experience and training less than those listed above should be converted to decimal equivalent of 1.0 unit and added together when computing combinations of the different types of preparation.
      • 12 months of "A" = 1.0 unit
      • 12 semester hours of "B" = 1.0 unit
      • 12 semester hours of "C" = 1.0 unit

      3. 12 months of work experience performing duties comparable to those of the Medical Staff Services Specialist I in addition to the training/experience listed in #2 above

Preferred Qualifications

Bachelor’s degree in business, healthcare or related field preferred
CPCS or CPMSM certified by the National Association of Medical Staff Services (NAMSS)
