This position manages the day-to-day operations of the Summer Session Office to facilitate recruitment, admission, and enrollment of visiting and current undergraduate students in UIC’s Summer Session. Acts as main point of student contact for all matters related to summer programs and advises students on enrollment requirements and procedures. Responsible for the development and execution of the annual student services and communications plan. Participates in all other facets of summer session administration including marketing, and budget and data management. Works closely and collaboratively with staff in admissions, recruitment, registration, and academic units.

Duties:

Student Services/Advising

  • Acts as primary resource and contact point for prospective and current UIC students (primarily undergraduates) on enrollment issues related to summer.
  • Advises students on summer admission and course registration requirements. Evaluates student enrollment issues and works to resolve with admissions, registration, and college/department contacts (missed deadlines, special registration approvals, etc.).
  • Writes and oversees all communications with students through a variety of channels (emails, chats, phone, social media, etc.). Develops and executes comprehensive student communication plan that guides students through the enrollment lifecycle (from inquiry, admission, registration to post-enrollment).
  • Plans and oversees the day-to-day operation of student services, including coverage of reception desk.
  • Develops and monitors operational activity reports to ensure consistent delivery of high quality customer service (phone coverage, email coverage, etc).
  • Develops and documents new procedures as needed.
  • Consults and advises senior staff on student service needs.

Student Outreach/Recruitment

  • Responsible for accuracy of all student service and recruitment information prepared by Summer Session Office (emails, postal mailings, brochures, internal documentation, etc.).
  • Manages Summer Session website and updates content. Assists in establishing and monitoring tracking mechanisms for the online presence of the UIC Summer Session (web/digital analytics).
  • Participates in development of recruitment/marketing plan and materials. Develops and executes social media plan.
  • Conducts presentations and works Summer Session booth/table at campus events to promote Summer Session.

Enrollment and Data Management

  • Maintains email database file of visiting summer students to track their progress through the enrollment lifecycle. Prepares email lists from campus data warehouse for recruitment and student service communications as needed.
  • Assembles and maintains updated summer course list. Maintains database of historical summer course offerings and enrollments.
  • Monitors enrollment activity, identifies enrollment trends, and notifies senior staff of course capacity issues.
  • Assists in program data collection and report production. Gathers, analyzes, and synthesizes summer activity and enrollment, revenue, and scheduling data as it relates to student success and program effectiveness.

Program Administration and Management

  • Participates in strategic planning for Summer Session program and integrates objectives supporting the university's retention and graduation rate goals into student advising and communications.
  • Develops and maintains strong working relationships with Admissions, Registrar, Office of Student Systems Services, college/departments and other campus units. Meets as needed to develop, coordinate and streamline workflow and collaborative procedures for student admission and enrollment.
  • Supports development and implementation of new Summer Session initiatives, managing the student communications and tracking, as needed.

Instructional Budget Management

  • Provides support for course planning and budgeting process.
  • Collects and conducts initial review of submitted college/departmental summer instructional budget proposals.
  • Assists in preparation of final approved summer instructional budget and the transfers of approved funding.

Staff Management

  • Assesses staffing needs and hires, trains, and manages part-time staff as needed.
  • Develops and maintains training materials and student services reference guides.

Perform other related duties and participate in special projects as assigned.

 

 

 

MINIMUM QUALIFICATIONS

  1. Bachelor’s degree.
  2. Demonstrated experience providing student advising in an educational environment.

PREFERRED QUALIFICATIONS

  • 3 years demonstrated experience providing student advising in an educational environment.
  • Working knowledge of Microsoft Office (particularly Word and Excel), website content management, email management system, and social media. Familiarity with CRM, campus-based applications (Banner, Web Intelligence, etc.), and undergraduate curriculum a plus.
  • Knowledge of university and higher education systems and processes. Ability to handle multiple projects with competing deadlines; strong attention to detail.
  • Excellent verbal and written communication skills to communicate with a broad range of senior level administrators.
  • Excellent written and verbal communication skills across various channels.
    Strong customer service orientation with the ability to listen actively, instruct clearly.
  • Attention to detail, and able to multi-task and work collaboratively to resolve student issues.
