Job Summary:

The Hospital Eemergency Services department is seeking to fill a full-time Program Services aide position. The primary function of this position will be to provide administrative and clerical support to Emergency Department Clinical and Administrative staff which includes physicians, directors, managers, research assistants, registered nurses, students and other faculty members. The Program Service Aide will be responsible for organization of the business support systems in the Emergency Department and the Emergency Services Administrative Suite which includes all communication, information and technological devices to include faxes, phones, spectra-link wireless phones, pagers, copy machines, etc. The management and flow of patient medical records is a primary responsibility. Incumbent will have an extensive knowledge of University organization, policies and procedures.

Key Responsibilities:

Clerical Support: individual performs the following function in support of Emergency Service Department staff:

  1. Reception and correspondence for the department which includes answering telephones, placing and receiving pages, receiving visitors, assisting internal and external customers, typing correspondence, routing mail, sorting mail and reproducing paperwork.
  2. Maintains office environment-ensures proper working condition of all equipment including fax and copy machines, maintains office supply levels including forms, files departmental material, completes work orders for needed improvement or maintenance.
  3. Prepares paperwork –individual types and all varieties of university forms. Has the primary responsibility for managing patient medical records to insure proper facilities and professional billing. Tasks include the copying and breaking down of charts and investigating, correcting missing chart components and finding missing charts.
  4. Data processing: performs a variety of tasks to prepare patient charts for billing. Uses databases such as Gemini and Patient Management (PM) systems to edit and print registration and medical record information to insure proper coding of charts.
  5. Other duties as assigned to accomplish departmental needs.

Administrative support:

Incumbent assists in preparing graphic multimedia presentations, statistical reports and quality assurance studies. Creates spreadsheets and uses other PC applications in order to analyze and compile reports on academic, administrative and research activities within the department. Develops and implements new procedures and improvements to enhance the efficiency of office operations.

Minimum Acceptable Qualifications:

1. Any one or any combination of the following types of preparation: 

  1. credit for college course work in or closely related to the social or behavioral sciences
  2. work experience and/or training that provided a knowledge of human behavior by having demonstrated through public contact the ability to cope with a variety of people, (such as complaint clerk, salesperson, or receptionist)

?that totals 1.0 unit according to the following conversion rates: 

o    24 semester hours of "A" = 1.0 unit o       24 months of "B" = 1.0 unit

Amounts of experience or training less than those listed above should be converted to decimal equivalents of 1.0 unit and added together when computing combinations of the different types of preparation.

 

Preferred Qualifications:

  • Incumbent must have completed at least two years of previous experience in a related capacity such as administrative assistant or secretarial position or have an associate’s degree from a college program. 
  • Knowledge of university organization, policies and procedures is required. General application of business office systems is also required. Familiarity with PC applications including word processing, spreadsheets such as Microsoft Office software package in a Windows environment is necessary. General knowledge of operation and maintenance of office equipment such as copiers, telefax machines, personal computers, scanners, printers and filing systems required. Familiarity with medical terminology and health systems is helpful.
