The University of Illinois at Chicago College of Dentistry (UIC COD) is the largest oral health college and patient care provider in the State of Illinois.  It a worldwide leader in oral health education, clinical care and research that is patient –centered and evidence-based.  UIC COD is seeking full-time benefits eligible Accounting Associate to work on fund/grant management for all the research/academic units in the COD.

Under the supervision of the Director of Research Services, the Accounting Associate position will perform a variety of tasks that include fund/grant accounting, budgeting, preparing sponsored-required financial reports, supporting internal and external audit requests. This individual will be responsible for verification and accuracy of grant expenditures for the life of the grant. The position will be responsible for providing service and direction to the College of Dentistry’s faculty and business managers for the post award activities of the College’s externally funded grants. The position will require the individual to develop, prepare, audit, revise, and/or maintain a variety of accounting, budget, and grant financial reports, statements, and records in accordance with University of Illinois at Chicago and State laws,codes, statues, rules, regulations, etc.

The preferred candidate has experience and/or training in accounting in a non-profit or University environment.  One to two years of grant management/federal grant experience and experience in fund accounting and business systems, is proficient in the use of Microsoft Office and spreadsheet applications. General knowledge of sponsored programs and grant application processes and working knowledge of government agency guidelines for post-award activities and audit guidelines are highly preferred.

  • Assist the Director of Research Services in the maintenance of grant records for the College of Dentistry and provide reporting for all grant activity and effort reporting. Support and oversee the post-award administration of grants, contracts, and subcontracts.
  • Prepare reporting of current active grants monthly to the Director of Research Services and work with Business Managers to help update annual grant reporting to the Office of Research.
  • Prepares, processes, and reconciles accounts, monitors journal entries, earning transfers, employee labor redistributions, and monthly ledgers for all grant accounts, including PO encumbrance, audit of the purchase orders and follow-up of outstanding invoices
  • Helps maintain grant history shadow system for internal record keeping.
  • Provide reporting to Departments and ADR regarding comprehensive grant activities (income and expenditures) used in providing annual reporting to the Dean and VCHA.
  • Review with each Principal Investigator their annual budget and quarterly expenditures from a) federal grants, b) corporate contracts and c) start up (MOU) accounts
  • Review with each Principal Investigator that salary offsets are maintained and managed.
  • Work with individual departments to track funding, monitor personnel expenditures; assist in preparing ET’s, JV’s, labor distribution and removing overdrafts.
  • Assist business managers with annual effort reporting.
  • Maintain spreadsheet reporting for anticipated salary recovery and effort reporting.
  • Prepare and provide information, reports and forms to the Grants and Contracts Office on grant payments and closeouts.
  • Troubleshoot issues with grant funding and activities and assure grant expenditures complies with federal agency guidelines and general accounting principles.
  • Stay abreast of new governmental policies, changes to funding guidelines, and incorporates  necessary modifications into the College’s policies and procedures.
  • Assist in general business operations of the Office of Research and Oral Biology, supply ordering, T-card processing, P-Card, printing statements, processing reimbursements, ordering food for meetings and various seminars.
  • Ensure department T-Card compliance and reconcile card holder’s transactions
  • Perform other related reporting duties and participate in special projects as assigned.

 

 

 

 

 

Minimum Qualifications

  1.  A. Bachelor's degree with a major in Accountancy or a related field AND two (2) years of professional level accounting experience.

 

OR

      B. Possession of current registration as a Certified Public Accountant (CPA), Certified Management Accountant, or a valid license to practice Public Accounting (LPA).


OR

      C. Master's degree in Accountancy or a related field.

 

Preferred Qualifications:


1.   Work experience and/or training in Accounting preferred, preferably in a non-profit or University environment.
2.   One to two years of grant management/federal grant experience and experience in fund accounting and business systems, i.e. Banner.
3.   Proficient in the use of Microsoft Office and spreadsheet applications.
4.   General knowledge of standard accounting principles, sponsored programs, and grant application processes.
5.   Preferred working knowledge of government agency guidelines for post-award activities and audit guidelines.
