Under general supervision of the Business Manager II, the Business Manager I handles the preparation of department accounting requisitions, purchase orders, reconciles P-Card purchases and other account ledgers, and advises on matters pertinent to procurement of specialized equipment. The Business Manager I may supervise 1-3 students or extra help employees.

JOB RESPONSIBILITIES:

(30%) Coordinates, directs, and reviews the preparation of purchase requisitions, purchase orders, P-Card orders, and orders processed through the Purchasing Department, including verifying information, reconciling accounts, and ensuring that there is proper back-up information and available funds.  Works in conjunction and communicates with other university personnel and vendors as needed.  Reviews fund and ledger accounts and determines which accounts to use, codes transactions, and processes material for application in the BANNER system.

(30%) Creates P-Card order logs and reconciles departmental P-Card transactions.  Follows up on orders, checking the status of orders as requested.  Follows up on vendor inquiries regarding open invoices, at times submitting paperwork for invoice payments via wire transfer.  Coordinates the day-to-day operation of the purchasing section of the Department of Chemistry.  Approves requisitions, vouchers, and other similar documents.  Assembles data, prepares administrative reports as assigned.

(30%) Advises on matters pertinent to procurement of specialized equipment, including coordinating with vendors on the behalf of PIs or the department to negotiate prices for instruments/equipment, and organizing bids in conjunction with university personnel.  Assists in the development of procedures and implements procedures and record­keeping systems and files at the direction of the Business Manager II.  Interprets and explains UIC operating policies and procedures related to purchasing for faculty, academic and support staff, and graduate students.

(10%) Assists storeroom personnel with placing orders as needed.  Supervises student or extra help employees.  Performs other related duties and participate in special projects as assigned.

MINIMUM QUALIFICATIONS:

1. A. Bachelor’s degree in business administration or a closely related field (such as accountancy)

OR

B. Bachelor’s degree in a field other than those listed in “A” and one year of responsible business experience

OR

Four years of responsible business experience

OR

A combination of such education and business experience totaling four years

2. Three years of responsible accounting and/or business experience, one year of which was at an administrative level

PREFERRED QUALIFICATIONS:

  1. Bachelor’s degree in business, finance, accounting, or a related field.
