Job Summary:

The Program Assistant provides support for the Pediatric Surgery Program for the Department of Surgery.  The daily functions will include management and operation patient care services and programs.  The Program Assistant will plan, implement, and manage all graduate and continuing medical education programs for medical students, fellows, and faculty. 

The Program Assistant will also serve as the primary point of contact for the programs billing activities and act as an I-Buy purchaser.   The administrative aide will act as an executive assistant to the Program Director and provide basic administrative support to junior level pediatric surgery faculty, and researchers.

Key Responsibilities/Duties:

  1. Act as primary liaison for pediatric surgery patients and families by coordinating patient appointments and liaising with the clinic and care nurse.
  2. Maintain scheduling calendar of multiple pediatric surgery faculty members.
  3. Oversee professional billing for clinical services and advises the faculty on department, university, and external agency policies on billing.
  4. Responsible for the retention and security of essential, operational, fiscal and other records/reports.
  5. Manages the programs administrative operations, to include acting as a primary liaison with vendors.
  6. Oversee graduate student, fellows, and medical resident student evaluations for all clinical program rotations. 
  7. Coordinate Pediatric Surgery program special events, seminars, and meetings.
  8. Perform other related duties and participate in special projects as assigned.

 

Minimum Acceptable Qualifications

  1. Bachelor’s degree.
  2. Based on position requirements, additional education, training, and/or work experience in the area of specialization inherent to the position, may be required.

Knowledge, Skills and Abilities (KSAs):

  1. Knowledge of general office practices and procedures
  2. Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  3. Knowledge of principles and methods for curriculum and training design, teaching and instruction for individuals and groups, and the measurement of training effects
  4. Skill in oral and written communication
  5. Ability to work effectively with staff, the public, and outside constituency groups
  6. Ability to organize and multi-task
  7. Ability to supervise and knowledge of administrative concepts and methods.
  8. Ability to utilize various computer software packages
  9. Ability to work independently and exercise judgment in order to be able to analyze and investigate a variety of questions or problems

Working Conditions

General administrative office environment. Regular travel not expected. Requires sitting for extended periods of time, standing, visual acumen, manual dexterity and fingering for working with computer key boards.
