Job Summary

The University of Illinois UI-Health is seeking a full time Customer Service Assistant to join the Ambulatory Service Off-Site Department.

The position will be under direct supervision and performs basic customer service functions, including information services, initial documentation related to problems/complaints, payment processing and assistance with the departmental customer satisfaction and performance improvement programs.

This position requires the ability to communicate Bilingually in Spanish verbally and in writing.

 

 

 

Job Requirements and Duties

A. Information Services:

  • Communicate verbally and in writing in Spanish.
  • Respond to routine inquiries related to office functions, personnel, and scope of services available
  • Enter/retrieve information from electronic/manual data systems
  • Manage initial call intake for the department, routes calls and messages appropriately and efficiently.
  • Assist other staff with office reception and related support
  • Distribute information related to departmental activities, policies, and other material to other affected departments
  • Conduct basic level assessment of customer service needs and decides to ensure needs are met
  • Consult with related departments to coordinate staff schedules and meeting room availability
  • Collect and verifies preliminary customer information to expedite delivery of services.


B. Customer Satisfaction:

  • Collect customer payment and processes. Reconcile payments.
    Schedules patient appointments.
  • Communicates verbally and in writing in Spanish to serve a large segment of the patient population.


C. Complaint Processing:

  • Receive, documents, and routes routine complaints received
  • Produce/format correspondence for follow-through of complaints received


D. Performance Improvement

  • Assist with maintenance of departmental performance improvement documentation
  • Participate on departmental and/or interdepartmental performance improvement teams


E. Other related duties as assigned

 

 

 

 

 

 

Minimum Acceptable Qualifications

  1. High school graduation or equivalent
  2. Any combination totaling 18 months from the following categories:
  • Responsible work experience in customer services, public relations, office administration, business and financial operations, healthcare administration or other closely related experience

OR

  • College coursework as measured by the following conversion table or its proportional equivalent:
  • 30 semester hours equals 1 year (12 months)
  • 60 semester hours equals 2 years (24 months)

Qualified applicants will be required to successfully pass the civil service exam for this classification. Exam will be administered at the UIC Human Resource Building
