Job Summary

The Oncology Services is seeking a Patient Services Specialist for the Cancer Genetics Clinical. 

This position functions as a care coordinator, administrator, educator, program liaison for patients and referring providers, and advocate to ensure that the UI Health Clinical Cancer Genetics program operates efficiently, delivers high quality care, and meets the complex needs of our patient population. 

The Patient Services Specialist will bridge gaps in the care continuum to facilitate timely access to high quality, specialized cancer genetics services and risk-adapted cancer screening and prevention programs for patients with hereditary cancer risk.

Key Responsibilities and Duties

  • Coordinate cancer genetics clinical services. Communicate with referred patients; conduct phone intake sessions; collect necessary medical records; obtain referrals and authorizations.  Provide initial pre-counseling education for patients about the purpose and process of genetic counseling and/or testing; prepare patients for genetic counseling visits by informing them of the information they need to collect in advance; and guide patients seeking genetic risk assessment and testing through the healthcare system.
  • Schedule cancer genetic services, including initial and follow-up appointments with genetic counselors, medical oncologists, and other providers.  Coordinate testing with outside laboratories.  Provide navigation services and mitigate barriers patients face in attending visits, e.g., assist in arranging transportation.  Utilize interventions and strategies appropriate to the population, i.e., taking into account culture, SES, language, age, gender, etc.  Track patient’s progress through the assessment, testing, and follow-up process, maintaining contact with patients and medical providers to determine whether patients received recommended services.
  • Develop relationships, facilitate interaction and communication with internal and external referring providers, nurses, staff, trainees, and others involved in the care of cancer genetics patients.  Facilitate delivery of follow-up letters, clinical summaries, and other materials to referring providers.  Serve as point person for questions on cancer genetics services available at UI Health.  Coordinate, attend, and participate in professional educational, community outreach, engagement, and awareness events.
  • Provide logistical support for expanding the cancer genetic risk screening program using CancerIQ® and/or other systems.  Collect and manage data for quality reporting and other programmatic needs using CancerIQ®, REDCap, Microsoft® Excel, and/or other databases and registries.  Collect and report programmatic data such as but not limited to volumes, uptake, attrition, referral sources, and outcomes.
  • Provide primary administrative and communications support to genetic counselors.  Attend regular meetings with genetic counselors and medical director.  Gain knowledge about the UIC system and services.
  • Performs other duties and special projects as assigned.

 

 

Minimum Acceptable Qualifications Required

High School graduation or equivalent.

  • Any Combination:
  1. Progressively responsible experience in patient services work (such as admissions, billing, collection, and/or interviewing) in a hospital and
  2. College credit for coursework in business, finance, public administration, or social science which totals three years; with a minimum of two years of experience.
  • College credit must be evaluated on the basis of one semester hour being equivalent to 1.5 months of experience.

Preferred Experience

  •  Knowledge of communities in the UIH catchment area; knowledge of community resources and of hospital processes, structure, and function; knowledge of payor practices and requirements.
  • Demonstrated organizational skill; proactive; responsible for completing work accurately and on time.
  • Experience with clinical, spreadsheet, and database software.
  • Excellent oral and written communication skills and customer relation skills for assisting patients, families, and healthcare team in person and by phone.  Demonstrated ability to work effectively in a team environment; excellent interpersonal skills.
  • Spanish language skills desirable but not required.
  • Bachelor’s degree or higher.
