Job Summary:

The UIC Innovation Center is seeking a Business Administrative Associate (Business / HR Manager).

The UIC Innovation Center is a collaborative learning environment and research facility where faculty, students, and corporate partners generate novel product ideas, analyze and commercialize new discoveries, and work to bring actual products to the market. The Center’s operational budget comes from various sources with a substantial portion from corporate partnerships. This position coordinates the operational, financial and human resources functions for the Innovation Center. This includes financial management, generating and managing contracts with external partners; procurement and human resource processes; performing analysis; interfacing with granting organizations and regulatory agencies to ensure compliance and adherence to university policies and procedures. May represent the Innovation Center on campus/university committees.

Key Responsbilities / Duties:

Financial Management

  • Assist in the development of the annual budget, execute monthly financial reporting and forecasting, and track expenditure monitoring. Develop and manage activity based budgets.
  • Complete the contract process with multiple external corporate partners from the beginning through to execution, collection, verification of deliverables, and renewal. Assist in the negotiation of business terms.
  • Complete internal agreement, collection process, and payments with multiple internal colleges and departments within the University
  • Manage grant activities including review and submission of grant and contract proposals; create and maintain documentation of expenditures, reports, proposal submissions and awards.
  • Create and run custom financial reports for periodic and regular expenditure reviews across all Innovation Center funding in order to maintain fiscal accountability both internally as well as for external corporate partners.
  • Develop internal financial policy and procedures for effective operations. Manage Innovation Center financial manual so that knowledge and operations is transferable. Aid in financial planning for the UIC Innovation Center.
  • Make large and small purchases for the Innovation Center.

 

Human Resources

  • Oversee HR processing and reporting.
  • Plan, assign and review work of staff to ensure that group objectives are met.  Hire, train, develop and manage staff to ensure that a qualified staff exists to meet group objectives.
  • Assist and advise in HR planning and policy for the UIC Innovation Center.
  • Perform and lead search and hiring processes.
  • Manage yearly performance review and reporting process at the Innovation Center.
  • Research new hiring models to support new Innovation Center funding and initiatives.

 

Operations Management / Other

  • Oversee and advise on various day-to-day administrative processes and polices.
  • Assist with special projects and events as needed.
  • Participate in strategic planning for the UIC Innovation Center.
  • Assist in the development of new offerings for the Innovation Center that are in alignment with its mission.

Minimum Acceptable Qualifications Required:

  1. Bachelor's degree in business administration, management or a field related to the position
  2. Two years of professional level accounting, managerial and/or business experience, one year of which was at an administrative level.
  3. Demonstrated business and HR management experience and experience with business and HR related systems in a higher education environment.

Preferred Qualifications:

  • Six years of professional level Business and HR management experience at UIC with knowledge of EDDIE/Business Objects and HRFE (Human Resources Front End) systems.
