The UIC Department of Biological Sciences seeks to hire a Program Coordinator. This position will coordinate the activities of three research groups - Laboratory of Integrative Neuroscience, Neurobiology and Ecology and Evolution (E&E) -- and provide administrative assistance to its faculty members in support of their academic roles in education, research and service. Serve as Webmaster and manager of BIOS social media presence.

JOB RESPONSIBILITIES (Essential Duties):


E&E, Neuro and LIN Program Activities
• Manage and be fiscally responsible for E&E, Neuro and LIN budget.
• Budget planning, forecasting and reporting for E&E, Neuro and LIN academic research groups
• Communicate with faculty seminar coordinator about upcoming seminars
• Organize seminar speakers’ visits (travel, hotel, parking, itinerary)
• Prepare, advertise and distribute seminar announcements
• Coordinate catering, other purchases and setup
• Coordinate required display/AV equipment and other presentation requirements
• Prepare MOU or honorarium forms for the speakers (if applicable)
• Process reimbursements and/or invoice payments
• Plan annual symposia including scheduling, travel planning, budgeting and financial paperwork.
• Assist LIN director with compiling annual LIN report. Collect information from faculty and format draft report.

Faculty Support
• Provide administrative support to the E&E, Neuro and LIN faculty
Organize scheduled faculty meetings (create agenda, take minutes and order food etc.)

Administrative Operations
• Manage reservation system for BioS classrooms, meeting rooms and conference rooms.
• Responsible for the process and maintenance of accounting requirements such as track office expenses related to seminars, graduate students etc., comply with policies for the use of P-card and T-card
• Assist in product research and purchase of equipment
• Process, complete and maintain requested administrative paperwork such lists, files, forms, etc.
Website Maintenance and Development
• Serve as web master; Responsible for website update and maintenance; create new pages and entries as needed or requested; troubleshoot issues encountered by all users; maintain news section
• Solicit and post syllabi for all BioS courses
• Coordinate yearly update of website information
• Assure graduate and undergraduate admissions pages are current every semester

Maintain social media presence
• Create and maintain accounts on Facebook, Twitter and Instagram
Event Planning
• Plan and coordinate BIOS events including picnics, retirement parties, award ceremonies, and others as needed
• Coordinate Undergraduate Student Award ceremony
Other special projects as assigned
• Maintain bulletin boards with up-to-date information
• Create photo collages of BioS events to share and BioS Photo Directory of faculty, staff, graduate students and researchers
• Miscellaneous projects that would arise

MINIMUM ACCEPTABLE QUALIFICATIONS:

1. Bachelor’s degree.

2. A total of one (1) year (12 months) in education, training and/or work experience in the area of specialization inherent to the position*.

*Note: Master’s Degree in an area consistent with the duties of the position may be substituted for one (1 year) of work experience.

KNOWLEDGE, SKILLS AND ABILITIES (KSAs):
1. Knowledge of principles and methods for curriculum and training design, teaching and instruction for individuals and groups, and the measurement of training effects.
2. Knowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership technique, production methods, and coordination of people and resources.
3. Skill in analyzing information and evaluating results to choose the best solution and solve problems.
4. Skill in scheduling events, programs, and activities, as well as the work of others.
5. Skill in oral and written communication.
6. Ability to adjust actions in relation to others' actions.
7. Ability to listen to and understand information and ideas presented through spoken words and sentences.
8. Ability to apply general rules to specific problems to produce answers that make sense.
9. Ability to develop specific goals, plans to prioritize, organize, and accomplish tasks.
10. Ability to work effectively with staff, the public, and outside constituency groups.
11. Ability to effectively plan, delegate, and supervise the work of others.
12. Ability to utilize various computer software packages, such as Accounting Software, query, etc.
13. Ability to work independently and exercise judgment in order to be able to analyze and investigate a variety of questions or problems.
14. Ability to analyze and develop guidelines, procedures, and systems.
