Job Summary:

The College of Medicine is seeking a Grants and Contracts Associate within the Department of Anesthesiology. The Grants and Contracts Associate in the Department of Anesthesiology serves as the research administrator, handling issues from grant pre-award preparation with Principal Investigators (PIs) and interaction with the university’s grants and contracts offices as well as with external funding agencies, through awarded grant fund management, and basic operational needs of the research team. This position will also be responsible for compliance matters related to research. This position will assist the Director of Administrative Operations on human resource matters related to research employees and hiring, and will assist with the preparation of international visa applications for research positions. This position will also perform basic office duties for the clinical faculty.

Key Responsibilities/Duties:

  • Provides administrative support to the research group as serves as the Department’s primary contact for all research matters. Position oversees the administration of grants, contracts, and subcontracts, interprets and provides guidance to PI’s regarding sponsor policies and regulations during pre-award and post-award processes. Provides reports and detailed analyses for administrative use. Serves as administrative contact to ORS and external funding agencies.
  • Provides post-award administrative support including providing detailed spending reports to PI and Department Administration. Provides guidance to PIs on allowable/unallowable grant fund charges. Participates with the Associate Head for Research and the PI in the planning for annual department support to the lab, and determines the lab level of support required from the department. Serves as administrative contact to OBFS post-award department.
  • Handles basic operational duties including lab purchases, reimbursements to research employees, and other payment requests related to research; facility  requests, and key requests; and all other day-to-day operational requests from research group. 
  • Provides assistance to Director of Administrative Operations with HR duties including processing visa applications for research staff, serving as liaison to labs on research hiring requests and completing basic requisitions and ad placement, and assisting on interview coordination for research hires.
  • Coordinates all compliance matters for the research group including both those related to research (e.g., Effort Reporting), and those related to basic university employment (e.g., Report of Non-University Activities). Serves as the Department’s liaison with external departments.
  • Manages research equipment inventory and assists with clinical office inventory, and assists with space issues for the department.
  • General office duties and participate in special projects as assigned for both the research division and the clinical division of the Department of Anesthesiology.

 

Minimum Acceptable Qualifications Required:

  1. Bachelor's degree in business administration, accounting, finance, economics or a field related to the position.
