Job Summary:

The College of Education is seeking a Business Administrative Associate within the Department of Educational Psychology. This position provides high-level administrative and management support to the Chair of the Department of Educational Psychology.  Manages logistics associated with today-to-day operations, planning; scheduling and prioritizing routine and special projects; assists Chair in overseeing the budget and keeping track of finances related to hiring, purchasing, faculty and student travel; manage tuition waiver and graduate student travel funds requests; and other project management.

Key Responsibilities/Duties:

•Serve as an administrative liaison and collaborator to the Department Chair, faculty, instructors, staff and students in the areas of logistics and planning related to faculty research, teaching, department programs and committees.

• Oversee the day-to-day operations of the Department office.

• Monitor individual faculty ICR, grant funds, student and faculty travel funds, course fee funds, and department budget. Process faculty and student travel to professional conferences; process honorariums and reimbursements; reconcile p-card and t-card reports.

• Monitor and oversee purchases, room reservations, audio-visual needs; process stipends and payments to selected vendors; assist with logistics and planning of faculty job searches.

• Document Department and committee meetings; assist with paperwork associated with faculty annual reviews, tenure, and promotion; process hiring of adjunct faculty and graduate students.

• Assist with editing and preparation of reports and various communiques to internal and external stakeholders.

• Assists faculty with student admissions and manages listservs.

• Conduct annual property inventory verification and process equipment loan forms.

• Create and update databases and/ or spreadsheets for programs and department.

• Purchase of supplies, educational materials, equipment, catering, and travel for faculty and students on a regular basis.

• Assist Administration with planning and executing of new office space.

• Coordinates building and equipment maintenance requests.

Minimum Acceptable Qualifications Required:

  1. Bachelor's degree in business administration, management or a field related to the position.
  2. Two years of professional level accounting, managerial and/or business experience, including one year of which was at an administrative level.

 

Preferred Qualifications:

  • Experience in a higher education work setting.
  • Good communication skills.
  • Excellent interpersonal skills.
  • Ability to work with a diverse population including students, faculty and other staff members.
