Two (2) Positions Available

Customer Service Specialist (Transplant Assistant) is responsible for the clerical coordination of pre- transplant evaluations and post­ transplant follow ups. Duties include obtaining medical reports. Securing insurance information, scheduling transplant evaluations, monitor and distribute necessary transplant materials to community physicians, dialysis units and patients many of whom are from a largely Spanish speaking population; schedule and assemble materials for compatibility testing, word processing. The Transplant Assistant also collaborates with the transplant coordinator in the intake and scheduling of living donors.

Answers phones, interview patient to obtain all demographic and financial information. Enter Patient demographics and financial information in UIHealth EHR. Assign the patient to the pre-transplant and financial coordinators.

Orientate patient to the transplant evaluation process.

Schedule patient for pre-transplant evaluation. Enter patient into scheduling system.

Type and send confirmation of appointment to patients along with appropriate paperwork to be completed and returned to transplant program prior to evaluation.

Communicate with physicians, secretaries, and clinic scheduling secretary to inform them of upcoming week's evaluations.

Provide patient chart to the transplant coordinator prior to transplant evaluation for review.

Communicate with patient to insure evaluation appointment is kept.

Complete patient registration worksheet and communicate with the pre-registration department to facilitate patient's registration for pre-transplant evaluation.

Ensure patients chart, as well as physician and social worker's evaluation report are returned to the transplant office.

Investigate fails, cancels, and shows from the previous week. Reschedule appointments.

Request medical reports required for pre-transplant evaluation from dialysis units and physicians. Continually follow up on request to obtain reports prior to evaluation; document actions taken.

Responsible for follow up, correspondence, and documentation of authorization status.

Responsible for communicating with various Insurance carriers to determine what is required to obtain authorization and providing appropriate material in an expeditious manner.

Compose and/ or type correspondence, in-service material, etc. and proof read same.
 
Responsible for monitoring and sending necessary transplant work up materials, e.g., transplant work up sheets. patient questionnaires, release of records forms, etc. to all  area dialysis units and nephrologists.

Create flyers for transplant information meetings and patient support groups; Filing and record management; breakdown of patient charts; Order office supplies, medical supplies and forms; monitor usage/supply of same;

Coordinate and schedule initial compatibility testing; Coordinate referral of living donor for medical evaluation; Collect information from living donor medical evaluation for review by transplant coordinator; Coordinate and schedule final compatibility testing; Enter and update patient information into the Transplant database.

Other administrative and support duties as assigned (faxing, copying, etc)

 

CREDENTIALS TO BE VERIFIED BY PLACEMENT OFFICER

1. High school graduation or equivalent

2. Any combination totaling three (3) years (36 months) from the following categories:
a. responsible work experience in customer services, public relations, office administration, business and financial operations, healthcare administration or other closely related experience
OR
b. college coursework as measured by the following conversion table or its proportional equivalent:
i. 30 semester hours equals 1 year (12 months)
ii. 60 semester hours equals 2 years (24 months)
iii. 90 semester hours equals 3 years (36 months)
iv. 120 semester hours equals 4 years (48 months)

3. One (1) year (12 months) of work experience comparable to that gained as a Customer Service Representative
